This Privacy Policy explains how Intracity Venki Travels, operated by Intracity Venki Tours & Services LLP (“we”, “us”, “our”), collects, uses, shares and protects personal information when you use this website or our transportation services. We follow the Information Technology Act, 2000, the rules made under it, and the Digital Personal Data Protection Act, 2023.

By using this website or sharing your details with us, you agree to this Privacy Policy.

1. Information we collect

Information you give us through our forms (Contact, Get a Quote and Airport Transfer):

Name, company name, phone number and email address
The service you need and your message
For airport transfers: pickup location, airport, travel date and time, number of passengers, vehicle preference and any flight details you choose to share

Information we receive when we provide a service, such as passenger names, phone numbers, pickup and drop addresses, shift timings and travel schedules shared by you or by your employer or school for planning trips.

Technical information, such as your IP address and the page from which a form was sent, which we record with each enquiry to prevent spam and misuse.

We do not ask for sensitive personal data such as financial account details, passwords or health information through this website. Please do not include such details in your message.

2. How we use your information

To respond to your enquiry and prepare quotes
To plan, operate and manage the trips you request, including routes, vehicles, drivers and schedules
To share trip, driver and vehicle details with passengers by SMS, phone or WhatsApp, and to confirm or update bookings
To provide helpdesk support and handle feedback or complaints
To keep passengers safe, for example through our helpdesk monitoring and the safety rules described on our Safety & Compliance page
To send invoices and maintain business records
To prevent spam, fraud and misuse of our website

We do not sell or rent your personal information, and we do not use it for advertising.

3. Sharing your information

We share personal information only when needed:

With our drivers and operations team, limited to what they need to complete your trip (such as name, phone number and pickup or drop location)
With your organisation, where your employer or school has arranged transportation for you, for trip records, attendance and safety
With service providers who help us run this website: our web hosting provider, which stores the website and form submissions, and SendGrid (Twilio Inc.), which delivers form submissions to our email inbox. These providers process data on our behalf and may store it on servers outside India.
With authorities, where required by law, a court order or to protect the safety of passengers, drivers or the public

4. Cookies and third-party services

This website does not use advertising or analytics cookies.
When you submit a form, our server sets a temporary session cookie to limit repeated submissions and prevent spam. It expires when you close your browser.
The Contact page shows a Google Map. Google may set its own cookies when the map loads, under Google’s Privacy Policy.
Links to WhatsApp, phone and email open services provided by those providers, under their own privacy policies.

5. Data storage and security

Form submissions are sent to our business email and a copy is kept on our hosting server in a folder that is blocked from public access. We use encrypted (HTTPS) connections where available and limit access to personal information to staff who need it to provide our services.

No method of transmission or storage is completely secure, but we take reasonable security practices and procedures to protect your information, as required by law.

6. How long we keep information

We keep enquiry and booking information only for as long as needed to respond to you, provide our services, resolve disputes, and meet legal, tax and accounting requirements. After that, we delete it or make it anonymous.

7. Your rights

Subject to applicable law, you can:

Ask for a summary of the personal information we hold about you
Ask us to correct, complete or update your information
Withdraw your consent and ask us to delete your information, where we are not required to keep it by law
Raise a grievance about how we handle your information

8. Children’s information

This website is intended for adults and organisations. For school transportation, student details are shared with us by the school or parents and used only to plan and operate student transport safely, under the school’s instructions.
